CONTRACT FOR RENTAL OF THE SPACE AT SUPPERTHYMEOK:

By reading the terms and conditions listed below you acknowledge you understand and agree to the following:

  1. Access to The Space is only available for the time specified during booking. This must include any set up before and cleaning after the event. If the event starts before or ends past the designated time of your booking, additional rental fee based on the hourly rate of the booking may be charged without proration.  
  2. Rental fee plus a $125 security deposit is due in full at the time of booking The Space. The security deposit will be refundable after a successful review that no agreements listed in the rental contract have been violated and that all items listed in the section herein titled, “Cleaning Checklist for Private Event Space Rental” have been satisfactorily completed within reasonable expectations. 

SECURITY DEPOSIT WILL BE RETAINED FOR ANY LATE DEPARTURES OF 10 MINUTES OR LONGER, NO EXCEPTIONS. 

  1. If cancellation of an event is required, written notice to cancel the event must be submitted in writing by email to [email protected] no later than 60 calendar days prior to the date of the event in order to be eligible for a full refund of the rental fee and security deposit, minus the processing fee. Requests to cancel that are received 30-59 calendar days prior to the date of the event will receive a refund of half the rental fee plus the security deposit, minus the processing fee. Requests to cancel that are received less than 30 calendar days prior to the date of the event will receive a refund of the security deposit, minus the processing fee. This policy applies to ALL situations including, but not limited to, (1) weather, (2) illness, (3) emergencies. Exceptions may be granted on a case-by-case basis and will be at the discretion of The Space/SupperthymeOK. Refunds will be given within 10 business days from the date written notice is received. 
  2. Booked events are eligible for a one-time rescheduling based on availability. If rescheduling of an event is required, written notice to cancel the event must be submitted in writing by email to [email protected] 30 days or more in advance of the originally scheduled event. Rescheduled event requests will be reviewed to determine if the new date and/or time can be accommodated. Rescheduled events must be for the same duration as the originally booked event, or longer with the purchase of additional time based on current rate. A refund will not be given for any difference in the amount of the rescheduled event should it be for a date/time that has a different booking rate. All rescheduled events are final and will not be eligible for a refund if canceled by the renter. 
  3. The maximum occupancy limit for The Space is 54 people.

RENTER’S LIST OF DUTIES:

The person whose signature is listed on the contract will be the party responsible for all contract duties and payments. This contract is non-transferable. 

The person who is listed on the contract must:

  1. Always remain at The Space during booked event time. 
  2. Not charge any fees for attendees this includes but not limited to, admission, food, alcohol and any other goods or services.  
  3. There must be one person 21 and older per every 10 guests under the age of 18
  4. Not use nails, tacks, scotch tape, command strips, or any other items that may cause damage to walls and/or furniture. No glitter, glue, permanent markers, finger paints, candles and any other substances that may cause permanent damage to The Space. 
  1. All decorations, food, equipment and any other materials brought in must be fully removed from The Space after the event. Any structural/electrical alterations to The Space are strictly prohibited. 
  2. No flammable and/or toxic materials are allowed in The Space.
  3. Renter must comply with the Oklahoma County noise ordinance, Noise levels after 10.00 p.m. must not be audible outside of the Space. The use of fireworks and excessive loud music are prohibited. 
  4. Renter and their guests shall not loiter in the parking lot after the event time is over. 
  5. No smoking and/or vaping is allowed in any area inside The Space. 
  6. Renter is financially responsible for any and all damage caused to the property by event attendees.  
  7. Renter shall comply with any reserved parking signage present in front of SupperthymeOK, Frank’s Scuba Shop, Audio Midwest, and R L Williams when The Space is used during the hours of business as stated by these other business patrons.

TERMINATION OF EVENT:

Management may terminate event prematurely at any given time if determined that the renter failed to follow the rules of conduct and duties listed in the rental contract. This includes, but is not limited to, treatment of disrespectful staff. In the event of premature termination fees and security deposit will not be refunded. Renter and/or event attendees may be subjected to being trespassed from The Space/SupperThymeOK. 

If renter and/or attendees become hostile or do not follow management decision to end event in a respectful manner, OKC/Edmond police will be contacted to disperse crowd and press trespass charges.

1. Indemnification of ColMakJak Inc. dba SupperThymeOK:

The Renter bears full responsibility for his attendees; accordingly, Renter shall indemnify ColMakJak Inc. dba SupperThymeOK, its owner, Caroline Northenor, and employees against any and all defense costs and fees or judgment liability arising from any claim or lawsuit brought by a third party arising out of the Renter’s rental of the premises.

2. Limitation of Liability:

The Association’s maximum liability under this Contract shall be the return of the sums paid by Renter.

3. No Warranty:

The Association does not warrant that its Space is suitable for any particular purpose, nor does the Association warrant any condition on the premises. The Renter agrees that he/she has had an opportunity to examine the premises; that the Association is not responsible for any notification of any defects within the premises; and that he/she will accept the premises in an “as is” condition.

4. Incorporation of Legal Documents:

The Association reserves all rights under its governing documents and the law to enforce the terms of his Agreement. In addition, the Renter shall bear full responsibility of all attorneys’ fees and costs incurred by the Association to enforce this contract. If the Association must seek legal action to recover damages in excess of the security deposit, all sums due shall bear interest at the rate of 18% per annum.

I, THE UNDERSIGNED, HAVE FULLY READ, UNDERSTAND AND AGREE TO THE TERMS AND CONDITIONS STATED HEREIN. I ALSO ACKNOWLEDGE THAT I AM FULLY RESPONSIBLE FOR ANY DAMAGES OR COSTS INCURRED DURING THE PERIOD FOR WHICH I HAVE RESERVED USE OF THE SPACE INCLUDING ANY CHARGES THAT EXCEED THE AMOUNT OF THE SECURITY DEPOSIT.

RATE SHEET

Rental Fees:

  • Weekdays – Monday-Thursday: 9am-10pm $75/hour w/2-hour minimum
  • Weekends (Fri, Sat, Sun) 9am-10pm $125/hour w/3-hour minimum

Security/Cleaning Deposit:

  • $125 (refundable, subject to the requirements set forth herein)

CLEANING CHECKLIST FOR PRIVATE EVENT SPACE RENTAL

  • Take down all decorations, décor, boards, etc. and remove all personal items
  • Turn off the TV and sound bar, if used, and leave remotes on the small butcher block counter
  • Move all furniture back to its original location, if moved
  • Place folding chairs and/or tables in the back room, if used
  • Sweep the floors and clean any spills or sticky spots with Swiffer wet jet mop found with other cleaning supplies in the back room
  • Vacuum rug and floors with vacuum found with other cleaning supplies in the back room
  • Wipe out all green chairs around the two tables using a damp rag. Rag provided with other cleaning supplies in the back room
  • Wipe down all surfaces with a damp rag. Rag provided with other cleaning supplies in the back room
  • Empty all trash cans (large and two small ones in the back room) and take them to the dumpster found behind the strip center. Replace all liners
  • Make sure the front door shuts and locks after departing. Should the door not latch, which may happen intermittently, please lock the door from the inside using the manual lock and exit out of the back of the venue. We apologize for the inconvenience should this be necessary
  • Make sure the back door is locked by turning the lock on the handle vertically. Make sure the large garage door is also latched, if used

  • Not included: Plates, bowls, utensils, or other serving items 
  • Not included: Kitchen, stove, oven, warmer, etc.
